TextExpander Statistics Reports for Team Managers

Statistics reports provide insight into key metrics, including how much time TextExpander has saved your team, which Snippets team members are using, and more.

  • Organization Admins can access statistics for the entire Organization. Learn about Organization admin statistics reports here.
  • Team Managers can access statistics for the teams they manage.
  • Organization Members can only access their own personal statistics. Learn about personal statistics reports here.

Report types available

From the “Statistics” page, you can generate several different reports:

  1. Overview — A high-level summary of Snippets expanded, time saved, and daily activity across your team.
  2. Usage — Details usage by team member, including how many Snippets each person expanded, time saved, and last activity.
  3. Snippets — Shows the number of times your team members have expanded the shared Snippets they have access to. You can sort by most- to least-used.
  4. Inactive users — Lists team members considered inactive due to lack of usage during the most recent billing period. Learn more about inactive members here.

How to view Organization statistics

  1. Sign in to TextExpander.com.
  2. In the sidebar, select “Statistics” under your Organization name.
  3. Choose a report type (Overview, Users, Snippets, Inactive Users, or Data Export), then select the team you want to run the report for. Enterprise plans can also set a custom date range.
  4. Adjust the Words Per Minute (WPM) if desired, to match your team’s average typing speed. This will give you a more accurate calculation of time saved.
  5. Click “Generate report” to view the results.

Using Statistics Reports

TextExpander statistics reports provide several popular insights for the team(s) you manage:

1. User Education

  • Users report: Find your top team members and highlight power users who can share tips with others.
  • Inactive users report: Spot team members who are less active to provide guidance or introduce them to more shared team Snippets.

2. Snippet Insights

  • Snippets report: Track trends in your team’s usage of specific Snippets.
    • For example, a Support team might track Snippets related to common customer issues. Higher usage can indicate the prevalence of that issue.

3. ROI (Time and Cost Savings)

  • Overview report: Run an Overview report to see total hours saved across your team(s) over 30 days (or a custom date range if on the Enterprise plan).
    • From the table, sort the “Users” column to find the number of active team members on a given day.
  • Calculate average time saved per team member:
    • Total hours saved ÷ Active members = Avg. hours saved per user
    • Example: 260 hrs ÷ 40 active members = 6.5 hrs/user/month
  • Calculate total cost savings:
    • Total hours saved x Avg. hourly rate
    • Example: 260 hrs × $25/hr = $6,500/month

Including Personal Snippets in Snippets Reports and Data Exports

By default, Snippets reports and Data Exports do not include personal Snippets, only Snippet Groups managed by your team and Organization. Personal Snippets are Snippets created by Organization members that haven’t been shared with anyone else.

To include personal Snippets in a Snippet report or Data Export, select the checkbox next to “Include Personal Snippets.” This option is only available for closed Organizations, where personal Snippets are owned by the Organization. Learn more about open vs. closed Organizations here.

Additional Details

  • Enterprise plans can select a custom date range for viewing reports. For all other plans, the date range is set to the past 30 days. You can upgrade from your account’s billing tab, by contacting your account manager, or our support team.
