Admin Controls for Requests

Overview

Organizations on the Enterprise plan have flexible controls over where and how Requests can be used across their TextExpander account. These controls allow admins to balance team collaboration with organizational requirements, such as compliance policies, content governance, or strategic library management. Enterprise Admin Controls for Requests

Requests is enabled by default for all Business, Growth, and Enterprise plans. Enterprise accounts have two levels of admin control:

Snippet Group-Level (Granular)

Turn Requests off for specific Organization Snippet Groups while keeping it enabled for all others. This gives you precise control over which parts of your organization’s Snippet library accept suggestions. Organization members with “Can Manage” permission on a Snippet Group can enable or disable Requests for that Snippet Group.

Organization-Level (Global)

Turn Requests off for your entire organization. When disabled at this level, the “Request Snippet” button will be removed or disabled from the web app, desktop apps, and Chrome extension. Only account admins can enable or disable Requests for their organization.

When to use each control

We generally recommend keeping Requests enabled at the organization level and using Snippet Group-level controls when needed, such as for compliance-critical Snippet Groups, finalized Snippet Groups that shouldn’t accept changes, or department-specific content with separate approval processes.

Turning off Requests organization-wide removes a valuable feedback loop from your entire organization. Even organizations with strict compliance requirements often have some Snippet Groups where team input would be beneficial, such as internal process Snippets, non-customer-facing content, or Snippet Groups still under development.

Consider organization-level controls only in very specific situations, such as if your organization has a strict policy against any collaborative content workflows, you’re in a transition period and need to pause all Requests temporarily, your entire snippet library falls under regulatory restrictions that prohibit suggestions, or you want to temporarily disable Requests while you create internal documentation on this new feature/process.

In most cases, Snippet Group-level controls give you the precision you need without losing the benefits of team input – it lets you protect specific content while keeping powerful collaboration alive everywhere else.

How to Manage Requests Controls

Disabling Requests at the Snippet Group Level

Admins and organization members with “Can Manage” permission on a Snippet Group can enable or disable Requests for that Snippet Group.

  1. Log in to app.textexpander.com
  2. Select “Snippet Groups” in the left sidebar
  3. Open the Snippet Group where you want to disable Requests
  4. Click the cog icon to open the Snippet Group’s settings
  5. Turn Requests off for this specific group by clicking the toggle next to “Requests”

When disabled, the “Request Snippet” and “Request Change” buttons will be greyed out for the group.

Note: Requests works best when all Organization members are on the latest TextExpander Mac or Windows desktop app (version 8.4 or later).  

Disabling Requests at the Organization Level

Only account admins can disable Requests at the organization level.

  1. Log in to app.textexpander.com
  2. Select “Settings” In the left sidebar under your organization name
  3. Under “Controls to manage your Organization,” click the toggle next to “Snippet requests”
  4. Confirm your selection by clicking “Turn off”

When disabled, Organization members will no longer see the “Request Snippet” or “Request Change” buttons. Existing requests will be hidden but preserved and will reappear if Requests is reenabled.
