Using Teams in a TextExpander Organization

What’s a Team?

A Team is a structure inside the TextExpander organization which allows you to pair up team members with their related snippets.

For example, create a Team for the Support department so that everyone in that department has access to all the snippet groups important to Support. Team members can discover and join any Team groups, whereas groups in the organization at large are not discoverable.

In terms of onboarding new TextExpander users, add a member to a Team, and they not only have access to the Team groups, they can be automatically joined to some of those groups as well. Auto-joined groups save the Team Admin from manually sharing each group individually with each team member.

Notes

  • There is no limit to the number of Teams an organization can have.
  • Groups can also be shared with members outside the Team.
  • Members and snippet groups can be on any number of Teams.
  • Team members can add and remove themselves from the Team groups.
  • When deleting a Team, or removing a team member from a Team, members will still be joined to any groups shared with them.

How To Set Up A Team

You need to be a TextExpander Admin to access the organization’s settings.

  1. Open the TextExpander organization settings by selecting “Admin” to the left of your account name then select Teams.
  2. Click the + plus button to add a new Team, then give that team a name.
  3. Your new Team now has two tabs, Members and Groups.

Add some snippet groups:

  1. From your Team panel click the Groups tab.
  2. Click the orange button in the upper right to edit the list of groups. On the right, you’ll see a list of all groups in the organization.
  3. Click the arrow inline with each group you want to add to your Team. Use the search bar to find specific groups.
    If you want to add a group which isn’t in the list, it may not be part of the organization yet. To make a snippet group part of your organization: open that group’s Sharing tab, scroll down and under Organization select your TextExpander organization.
  4. Click the orange button when you are done to exit edit mode.

For any group you want automatically shared with your team members, click “auto-join” inline with that group. The rest of the groups will be visible to your team members, and they can join them if they choose.

Add some team members:

  1. From your Team panel click the Members tab.
  2. Click the orange button in the upper right to edit the list of members. On the right, you’ll see a list of all the members in the organization.
  3. Click the arrow inline with each name you want to add to your Team. They will appear in the list to the left. Use the search bar to find specific people.
  4. Click the orange button when you are done to exit edit mode.

Remove Groups or Members:

  1. From your Team panel click the Groups or Members tab.
  2. Click the orange button in the upper right to enter edit mode. The groups/members in the Team are listed on the left, those in the organization at large are listed on the right. Click on the arrow inline with the Team groups/members you wish to remove.
  3. Click the orange button when you are done to exit edit mode.

How To Browse Available Groups:

  1. When on a team, sign in to your TextExpander account in a web browser.
  2. From your main groups list click the orange “+” to add a new group. Any groups available to your Team will be listed.
