Using Teams in a TextExpander Organization

What’s a Team?

Teams are the best way to organize the groups of people within your company and quickly share collections of Snippet Groups with each other.

Whether you’re a team of 10 or a team of 100, Teams will allow you to easily onboard your members and give them access to the Snippet Groups they need with little effort from the TextExpander Organization’s Admin. Add a Member to a Team, and they’ll instantly have all the Snippet Groups needed for that working group, such as “VIP Support” or “Sales-West.”

Notes

  • There is no limit to the number of Teams an Organization can have.
  • Snippet Groups can also be shared with members outside the Team.
  • Members and Snippet Groups can be on any number of Teams.
  • Team members can add and remove themselves from the Team groups.

How to set up a Team

You need to be a TextExpander Admin to set up a Team.

  1. From your account on TextExpander.com, select “Teams” from the sidebar, under your Organization name.
  2. Select the + plus button to add a new Team, then give that team a name.
  3. Your new Team has two areas: Members, where you can add and remove members of the Team, and Snippet Groups, where you can add and remove the Snippet Groups the Team will share.

How to add Members to a Team

  1. From the Team’s Members tab, select the “Add members” button at the upper right. You’ll see a list of all the Members who are part of your Organization.
  2. Choose all the people you’d like to add. Use the search bar to find specific people.
  3. Select the “Add selected” button when you are done.
  4. To remove Members, select the “Remove members” button, choose the members you’d like to remove, then select the “Remove selected” button.

How to add Snippet Groups to a Team

  1. From the Team’s Snippet Groups tab, select the “Add Snippet Groups” button at the upper right. You’ll see a list of all the Snippet Groups which are managed by your Organization.
  2. Choose the Snippet Groups you want to add to your Team. Use the search bar to find specific Groups.
  3. Select the “Add selected” button when you are done.
    If you don’t see the Group you want to add, it may not be managed by the Organization yet. To assign Snippet Groups to your Organization:
    1. Select “My Snippets” from the sidebar
    2. Select the Snippet Group and open that group’s Sharing tab. Scroll down and under “Assign to Organization” select your TextExpander organization.
  4. To remove Snippet Groups, select the “Remove Snippet Groups” button, choose the Groups you’d like to remove, then select the “Remove selected” button.

Team Admin & Permission Levels

Just like you need to have at least one Organization Admin and one Snippet Group Admin, each Team needs at least one Team Admin. Team Admins are allowed to add and remove both Members and Snippet Groups. Someone who is a Team Admin but not an Organization Admin will be able to see and manage Teams from the sidebar in their account, but will not see any other Organization Settings.
