An underutilized yet incredibly helpful feature of AdvancedMD is its keyboard shortcuts. These shortcuts can save valuable time for healthcare professionals by streamlining workflows and reducing repetitive typing tasks.
Here we present some of the common hotkeys and shortcuts available in AdvancedMD. Whether you’re a seasoned user or new to the platform, adopting these shortcuts can enhance the way you access and track patient information.
- Care Team Shortcut: Wherever you are in AdvancedMD EHR, you can press “Z” to instantly bring you to the Care Team screen to see multiple valuable aspects of your patients and those who are caring for them.
- Marketing Referrals: Press the “K” key to open your marketing referrals screen quickly. This screen allows you to view marketing referrals associated with a patient or to create a standalone one instead.
- Search by CPID: Use the equal sign (=) in the Search Criteria to search by the CPID. Searching by the CPID can speed up your searches and keep them organized.
- Extra Information: When making a Charge Entry, you can save and close the Extra Information screen by pressing the keys Alt+O as a shortcut.
- Patient Demographics: When making or editing a patient appointment, once you have a patient selected, you can click on the icon of the person to open the patient’s demographics. This is also available if you double-click on the header of the patient window.
- Resend Messages: You can resend messages from your Message History screen by using the “Send” icon to resend items from the following messaging categories:
- Appointment Reminders
- Online Scheduling Appointments
- Telemedicine Appointment Invitations
- Patient Message Notifications
- Patient Forms Notifications
- Survey Messages
- Recall Reminders
- Scheduler: You can designate a patient as non-billable in a group appointment. Non-billable visits will not be displayed in the patient’s charge entry. This is most useful for children who are not billed. Click the Scheduler icon from the main toolbar. Create a group appointment. Add patients to the appointment. Select the check box in the new Non-Billable column for patients that are non-billable. Click Save.
- Legacy Role Setup: You can use the Messaging Campaigns privilege in User Management to control user access to create and send messaging campaigns.
- Patient Filed: To access the patient field, press Alt+P
- Template Naming Convention: For some specialty templates, a naming convention is present for quick access. It includes the following abbreviations:
- Note templates for problem-specific or general conditions start with “Visit”
- Procedure templates start with “Proc”
- Patient forms relating to specific note templates include “Hx” in their name
- Diagnostic tools start with “Tool”
- Subnote templates start with “SN”
- Subnote versions of patient forms start with PF
- There are exceptions to the naming convention. A general template that could be used for any type of visit is listed under the template name, for example, Medical Release Form or Patient Phone Call.
- New Payment Functions: You can now enter one payment and split the payment between multiple visits in the transaction grid:
- Go to the Patient or Insurance tab.
- Select a patient.
- Click Visit/Claim#. The select Visit/Claim# drop-down displays the multi-select dialog.
- Press the CTRL key on your keyboard and select “Visits”. Press the Enter or Tab key on your keyboard to save the selected visits.
- Enter payment amounts to selected visits in the transaction grid.
- Press Post.
- Patient Messaging Module and Added Print Functionality: The updated Patient Messaging module has added the ability to print patient message history. To print a list of patient messaging histories, you can press Ctrl+P to print directly from the Messaging History screen.
- Patient Demographics: When entering a new patient appointment, click the icon next to the “x” to quickly bring up patient demographic information.
- Include Subnotes in Word Merge: In the mobile app, you can now use the Word Merge feature to merge patient subnote data into a Word document (if the patient note has an associated Word merge document, just as you can in EHR).
- Toggle Current Medications: In the mobile app, on the Medications screen, you can now toggle a medication status from Current to Historic. Swipe a medication to the left and tap Toggle Current to move the prescription from Current to Historic. After you have toggled a prescription, refresh the Medications list to filter out prescriptions that no longer apply to the selected filter.
- Print Drug Leaflet: In the mobile app, you can access the First Databank website and print drug leaflets for medications. Open a prescription in a patient chart. Tap the Action icon. Tap Drug Leaflet. A preview of the drug leaflet appears. Tap Print.
- Filter Visiting Today List: In the mobile app, filter the Visiting Today list by Appointment Status. Tap the Patient icon. Tap the Filter icon to filter your Visiting Today list. The available filters include “Booked,” “Checked In,” or “Checked Out” for Appointment Status. There is also a filter for Provider.
Other ways to limit repetitive typing
Another productivity shortcut for AdvancedMD users is TextExpander. This tool allows healthcare professionals to create shortcuts for frequently used text, such as patient notes, common diagnoses, and standard procedures. By typing a short abbreviation (called a snippet), TextExpander automatically fills in the full text, eliminating the need for repetitive typing and minimizing errors.
Using TextExpander with AdvancedMD makes documentation easier and more cohesive across your practice. This organized system saves time and ensures consistency across records. Additionally, because patient care should be the top priority for anyone working in the medical sector, TextExpander’s increased efficiency on the documentation side allows practitioners to dedicate more time to their patients and less to administrative tasks.
