AI makes it easy to write. Getting it right is the hard part. That’s why we made TextExpander free for teams.

TextExpander is now free for individuals and teams of up to five, with no credit card required. CEO J.D. Mullin explains why AI made getting it right harder, and what the Free plan includes for you and your team.

Three teammates’ email, chat, and help desk replies filled with the same approved Snippet, beside a team at a laptop and a Free for teams pill

Your team has answered this customer question before. Probably dozens of times. Each person who answers it goes looking for the last good reply, and when they can’t find it fast, they write a new one.

These days, they’re more likely to ask AI to write one. So the answer gets rewritten a little differently every time. The tone shifts, a detail goes missing, and the customer who asked last week gets a different answer than the one going out today.

Key takeaways

  • AI made writing fast, but it made checking slower. Every AI-drafted reply needs a careful read for accuracy, promises, and tone, and that work multiplies when each person on a team prompts in a slightly different way.
  • Saving the approved version once removes the second read. Anyone on the team types a few characters, and the exact approved response appears, so new people sound experienced on day one, and a single update reaches everyone.
  • TextExpander is now free for individuals and teams of up to five, with no credit card required and no trial deadline. The Free plan includes unlimited Snippets in your library, five active Snippets at a time, and a shared library your team can work from.
  • AI and TextExpander work better together. Use AI to create the answer once, then use a TextExpander library that AI assistants can connect to, so it goes out correctly every time after that.

Every AI draft needs a second read

I love what AI is doing for the way we work, and we use it throughout TextExpander. But I’ve noticed something on our team and with our customers. AI made writing fast, but it made checking the work even slower.

Every time someone asks an AI tool to draft a reply, they have to stop and read it carefully. Did it take liberties? Did it promise something we don’t offer? Does it sound like us?

Multiply that by an entire team, each person prompting a little differently, and the content drifts. It isn’t approved, it isn’t on-brand, and it doesn’t sound like your company. Consistency and authenticity matter more now than they ever have, because creating content is no longer the hard part. Getting it right, every time, by everyone, is.

That’s the problem TextExpander has always solved. You save your best version once. After that, anyone on your team types a few characters, and the exact approved response appears.

There’s nothing to double-check, and it’s right every time. And unlike asking AI again, using it a hundredth time costs nothing.

Quote from J.D. Mullin, CEO of TextExpander: Creating content is no longer the hard part. Getting it right, every time, by everyone, is.

Loved by individuals, built for teams

People have used TextExpander to expand more than 2.8 billion Snippets and save an estimated 3.8 million workdays.

Seriously, I don’t know how I survived running my business before TextExpander. On average, it usually saves me at least 30 – 60 minutes a week.

Heather Ritchie, Certified Content Marketing Strategist & AI Systems Architect, Writer’s Life for You

Individuals have loved TextExpander for years. But it does even more for a team, because a team needs to sound like one company, and typing speed alone won’t get you there.

The path usually starts with one person sharing a Snippet, then the next person asks for it, and before long, everyone is sending the same approved answer from a shared Snippet library. New people sound experienced on day one, and when something changes, you update one Snippet instead of retraining the entire team.

I was a personal user of TextExpander for years and then once I became a leader, I implemented TextExpander for use department-wide, and we switched to an enterprise account. It’s been a huge problem solver for us as it allows our engineers to use pre-approved templated responses to common issues, as well as ensuring that our internal notes and documentation follow our requirements.

Michael Purdin, Customer Success Team Lead, Netwrix

We want every team to reach that point without a trial deadline. That’s why TextExpander is now free.

Free for you and your team

TextExpander is now free for individuals and for teams of up to five, and you don’t need a credit card to get started.

Here’s what free means:

  • Unlimited Snippets in your library
  • A shared library your team works from, with an Organization tab for admin-approved content and a Shared tab for what teammates share with each other
  • Fill-ins, dates, and a date picker, so a Snippet can work as a simple dynamic template
  • It works everywhere you type: Mac, Windows, Chrome, iPhone, iPad, and Android

Each person can have up to five active Snippets. Treat that as a starting point, not a limit. Find the five responses your team absolutely has to get right, the ones where a wrong word costs you, and make those Snippets first.

Use them as much as you want. When your team wants more, the paid plans are there.

TextExpander Free plan card: unlimited Snippets in your library, five active Snippets per person, a shared library for teams of up to five, and apps for every platform.

Cross-platform support for Mac, Windows, the Chrome extension, and your phone

A reply your support team sends from a help desk in one browser tab should read the same in an email, a chat window, or a desktop application. That’s why your whole Snippet library goes wherever you type.

Mac users get the Mac app, Windows users get the Windows desktop app, and the Chrome extension covers web apps and web-based workflows. On iPhone and iPad, the iOS app and the TextExpander keyboard bring the same Snippets to your phone, and there’s an Android app as well.

Syncing is included, even on the Free plan. When someone updates a shared Snippet, everyone on the team gets the new version wherever their Snippets live. Nobody has to export a file, rebuild shared templates in another tool, or remember which version is current.

How to find the five Snippets your team has to get right

The best first Snippets are the answers your team already sends every week. A few places to look:

  • Your sent folder and help desk. The replies your support teams send most often are usually the ones that drift the most.
  • Wording colleagues keep asking for. If people keep asking each other for the wording on a refund, a renewal, or a security question, that answer should be a Snippet.
  • Anything that has to be exact. Policy language, pricing details, and legal wording are worth saving first because a small change there costs the most.
  • Frequently used phrases and links. A booking link, a help article, or your mailing address rarely changes, and keeping it one abbreviation away helps the whole team save time.

Start there, share them, and see which ones your team uses most. When five isn’t enough, the premium features add unlimited active Snippets and advanced features for the work that needs them.

Your AI can use it too

This isn’t TextExpander versus AI.

Okay, for answers you’ve already approved, TextExpander is faster and costs nothing to reuse.

But they’re better together. Through the TextExpander MCP Server, your TextExpander library connects to the AI tools your team already uses, so your assistant and your AI agents work from your approved answers instead of making things up.

Use AI to create the answer once, and use TextExpander to send it correctly every time after that. There’s a lot more to say here, and I’ll share more soon about where TextExpander fits as AI takes on more of our work.

Three steps: TextExpander AI drafts a Snippet, a person approves it, and the Snippet expands in email, chat, and a help desk

Start with your five

Sign up for free, invite your team, and pick the five things you type that absolutely must be right. Make them Snippets, share them, and build from there. I think you’ll be surprised by how quickly your team stops rewriting and starts sending the right answer.

TextExpander is free. Your time isn’t.

Create shortcuts for the things you type most and start saving time everywhere you type. Use it solo or build a shared library with your team.

Free forever, no credit card required.

Frequently asked questions

Is TextExpander free?

Yes. TextExpander's Free plan is free forever and doesn't need a credit card. It includes unlimited Snippets in your library, five active Snippets at a time, one Snippet swap every two weeks, and sharing with up to five team members across three teams. One account works across your operating system and browser: Mac, Windows, the Chrome browser extension, iPhone, iPad, and Android. Syncing is included on the Free plan too. Beyond simple text expansion, the Free plan includes basic Fill-ins, dates, and a date picker, so one approved email template can ask for the customer's name or order details each time, and Snippets retain their rich-text formatting.

What's the difference between total Snippets and active Snippets on the Free plan?

You can save as many Snippets as you like, and five of them can be active at once. Active Snippets are the ones that expand when you type their abbreviations, so choose the five your team needs most, and the right Snippet is always ready.

Every two weeks, you can swap one active Snippet for a different one. Paid plans have no active-Snippet limit, so swaps don't apply.

What happens when the 30-day preview of paid features ends?

New accounts get a 30-day preview of paid features. When it ends, your account automatically moves to the Free plan. All of your Snippets are kept, five stay active, and you can upgrade any time to make the rest active again.

What do paid TextExpander plans add?

Paid plans remove the five-Snippet limit and give power users and growing teams more control. Pro adds unlimited active Snippets, unlimited teams, and dynamic content such as date math, conditional sections in Fill-ins, JavaScript, and, on a Mac, AppleScript and shell commands, for up to five users. Its Delay macro pauses a Snippet when an app needs a moment to catch up.

When you need a team plan for more than five people, Business removes the five-user limit and adds Snippet Requests, guest sharing, Google single sign-on (SSO), and a longer Snippet activity history. Enterprise adds SSO for all providers with SCIM, granular sharing controls, and a custom security review. Paid plans start at $5 per user per month. See current prices on the TextExpander pricing page.

Can I use TextExpander with AI tools on the Free plan?

Yes. AI Recommendations, which surface relevant Snippets in the Chrome extension, and MCP access for AI agents are both included on the Free plan. With the MCP Server, AI assistants such as Claude, ChatGPT, and Microsoft Copilot can work from the same approved library your team uses. A Snippet that AI built and a person approved expands the same way as one you wrote yourself.

Can my whole team use TextExpander for free?

Yes, if your team has five or fewer people. Each person gets five active Snippets, and you can share them across up to three teams. Larger teams can move to the Business plan, which removes the five-user limit and adds Snippet Requests, guest sharing, and Google single sign-on (SSO).

What is the best free text expander?

TextExpander itself now has a free plan, so you can start without paying or switching tools. Beyond that, the right tool depends on who's typing, where, and the one job you need done. For the same phrase on a single device, the keyboard shortcuts built into your operating system handle simple snippet expansion. Mac users can create shortcuts in System Settings, and they sync across the Apple ecosystem, which makes a good free solution for personal use.

When a team needs one shared library across Mac, Windows, Chrome, iPhone, iPad, and Android, TextExpander’s Free plan covers it, and our roundup of free text expanders compares the other options.
