Feature Update: Improved Snippet Sharing and Visibility for Organizations

With our ongoing TextExpander update, sharing Snippets inside your organization has never been easier. We’re thrilled to share three major enhancements to how Snippet sharing works for organization accounts:

  1. A new interface for Snippet Groups inside your Organization account.
  2. A simpler way to share and manage permissions of Snippet Groups with team members.
  3. Improved visibility of shared Snippet Groups for Organization admins.

Easier snippet sharing ensures consistency across your team and helps build a unified Snippet library as a single source of truth.

1. A new interface for Snippet Groups inside your Organization account

In the apps for macOS, Windows, and Google Chrome, we have renamed the Personal section to Just Me. This better communicates which Snippet Groups are viewable by only you (Just Me) and which have been shared with at least one teammate (Organization).

This is a cleaner and more modern approach to sharing Snippet groups, and it also makes management easier for Organization Admins.

Now, any new Snippet Groups that you share (or ones previously shared with at least one other person) will be moved to the Organization section in the sidebar instead of under Shared.

Read below for instructions on how the new sharing works.

2. Share and manage permissions of Snippet Groups with Organization members

First, you need to access the TextExpander web app to control sharing settings. You can do this either:

  • In the desktop app: Right-click (or Command-click on a Mac) a group name and choose Share from the menu.
  • On the web: Log into https://app.textexpander.com/.

From there:

  1. Click My Snippets in the sidebar.
  2. Identify the Snippet group you want to share.
  3. Click the Invite Users button associated with that group.

  4. In the Share dialog box, click Just Me, which indicates that the Snippet group is exclusive to only you. That reveals two options:
    • Shared: Moves Snippet Groups from your Just Me library to your Organization and lets you pick the specific people or teams you want to share with. More on this below.
    • Everyone: Moves the Snippet Group from your Just Me library to your Organization and shares the Snippet Group with all current Organization members. Any Organization member added to your account in the future will automatically receive the Snippet Group, too.

  5. To give specific people access, select Shared and click the field titled “Add members, teams, or invite guests via email address.” Either choose one of the suggestions from the drop-down menu or start typing the name of a person or team in your organization. Alternatively, you can type or paste in the email address of someone outside your organization.
  6. Once you’ve added the person or team to the Snippet group, you can click the three dots by their name to set permissions or remove them from the group. By default, they can only expand the Snippets but not edit them.

  7. Click Done!

There you have it: Simpler, cleaner sharing of your most useful TextExpander Snippets.

3. Improved visibility of shared Snippet Groups for Organization admins

Since every Snippet shared from an Organization account is now classified as an Organization Snippet, admins can see all Snippet Groups shared by Organization members, including those shared with others inside and outside the Organization.

When an Organization member shares a Snippet Group and it gets added to your Organization’s Snippet library, you’ll see a dot indicating the Snippet group is new to the library and has not been reviewed by an admin. By clicking the Snippet Group’s action menu, you can mark it as reviewed, change who it’s shared with, rename it, or delete it to help keep your Organization’s Snippet library clean and ensure Organization members are using the correct Snippets. Once marked as reviewed, the dot will disappear. 

Snippet Groups previously shared by Organization members that were added to your Organization’s library when we rolled out this update also have the dot indicating they have not been reviewed. This way you can easily see the additional Snippet Groups you now have visibility into that need to be reviewed.

To view shared Snippet Groups as an admin:

  1. Log in to https://app.textexpander.com/.
  2. Click your organization’s name in the upper-left corner to expand the menu.
  3. Click Snippet Groups.

From there, you can view and manage all of your organization’s Snippets.

FAQs about Simplified Snippet Sharing

Does this change affect individual accounts?

The Personal section is also renamed Just Me for individual accounts, but none of the new Organization sharing features are included. If you frequently share Snippet Groups with others, consider upgrading to an Organization subscription today.

Why should I consider upgrading to an Organization account?

An Organization account unlocks powerful sharing and analytics features, giving your team the tools to work smarter together. With an Organization library and the option to create Teams, you can easily consolidate all your Snippets into one centralized place, ensuring that content aligns with your messaging and brand standards.

Managing content is also more straightforward, with permission settings that allow others to help keep Snippets up to date. It’s like having all the productivity perks of an Individual account but scaled across your entire team for greater consistency and collaboration.

Can anyone else see the Snippets listed under Just Me?

Your coworkers cannot see Snippets set to Just Me. However, your organization’s admins could inspect the contents of your Snippet Groups if they so choose.

What is happening with the Shared section in TextExpander?

Previously, any Snippet Group you shared with someone inside or outside of your organization and Snippet Groups shared with you from someone outside of your organization would appear in the Shared section.

Now, every Snippet you share from an organization account technically belongs to that organization, which makes it easier for admins to see what Snippet groups are being shared.

However, if someone from outside your organization shares a Snippet Group with you, that will still appear in the Shared section.

For example, let’s say your company employs an external marketing agency called Acme Marketing, with which you frequently share Snippets. If you share a Snippet group with Acme Marketing, it will appear in your TextExpander library under Organization. However, if they share a Snippet group with you, it will appear under the Shared section.

Note that if you have an Individual account, you will still see both Snippet Groups you have shared with others and those shared with you in the Shared section.For example, let’s say your company employs an external marketing agency called Acme Marketing, with which you frequently share Snippets. If you share a Snippet group with Acme Marketing, it will appear in your TextExpander library under Organization.
