Can’t find your best AI prompts when you need them?

Breaking focus to retrieve prompts

You need the prompt that worked perfectly last week, so you stop everything to find it. Was it ChatGPT? Claude? Which conversation? You scroll through your chat history, losing momentum and your place in the work you were actually doing.

Losing your best prompts in chat histories

It started with something like “Act as…” but what came next? The exact wording that got you great results is buried in hundreds of conversations, alongside all the versions that didn’t work. After 10 minutes of digging, you give up. It’s gone.

Wasting time recreating prompts

So you start from scratch. Again. You try to rebuild what made it work: the tone, the structure, the specific examples. Twenty minutes later, you have a prompt that’s close but not quite right. Without a place to keep your best prompts, you’ll do it all again next time.

An AI prompt manager that makes your prompts
easy to find, customize, and share

No more digging through chat history. No more rewriting the same prompt for the fifth time. With TextExpander, you store and organize prompts in one prompt library and use them in ChatGPT, Claude, Gemini, and anywhere else you work, so your best prompts are always one shortcut away.

Store and organize prompts in one place

Save that ChatGPT prompt that worked perfectly as ;emailprompt. TextExpander’s Snippet Library lets you store prompts like ;weeklyreport, ;productdescription, or ;userjourney where you can easily find and search them. Never lose a prompt again.

Access them instantly, anywhere you work

Working in ChatGPT? Claude? Gemini? Type ;emailprompt and your prompt appears at your cursor, ready to send. Use Inline Search to search your entire prompt library without leaving your work.

Add your prompts to a shared team library

When your best support rep creates a great prompt for drafting empathetic replies to refund requests, the whole team can use it with ;refund. Share the group with specific people or teams, choose who can manage prompts, and updates sync to everyone automatically.

TEAMS

Give your team
one shared prompt library

Without prompt management, every team member reinvents the wheel. Your best prompts stay trapped in individual chat histories, and results vary depending on who’s using AI. A shared prompt library gives everyone, including new hires, your team’s best prompts, kept current in one place.

Start Simple: Your First AI Prompt

You’ve figured out how to ask ChatGPT for good customer service emails. The problem is retyping those instructions every time or digging through your chat history to find them.

Save your prompt as ;customeremail. When a customer writes in, copy their message, then type the shortcut in ChatGPT. Your prompt appears with their message already filled in. No configuration. No learning curve.

That’s it. You’ve saved a prompt. Now you can stop recreating it.

ADVANCED

Go Pro: Full Automation

Meeting notes come in every format. Some people use bullets, others write paragraphs. Copy your notes and type ;meetingsummary. The JavaScript reads your clipboard, pulls the date, extracts attendee names, and builds a structured prompt that tells ChatGPT or Claude exactly what you need.

You get consistent summaries with the same sections every time: decisions, action items, open questions, next steps. One shortcut, one format, regardless of how messy the original notes were.

How the pros use TextExpander as their AI prompt manager

The best prompts are the ones you actually use. So it’s all about minimising friction to finding and using them. I store prompts and context in a text snippet tool TextExpander. This means me and my team can use any prompt in any text box through a quick search or text replacement code. This simples an onboarding doc to just includes a list of codes and when to use them.

Typing the same text over and over again?

So you don’t have to.

Chamber of Commerce number? IBAN? Commonly used ChatGPT prompts?

I don’t type them anymore.

Since I have been using TextExpander I fill with a few keystrokes automatically enter my most frequently used info.

It saves me a lot of time every week,

Highly recommended.

Do you frequently pull from ChatGPT -> Notion?

ChatGPT always ends with “Would you like me to…” in the output, which means it always ends up in your copy-paste.

I’ve been stocking up on TextExpander snippets for these little scenarios. In this case, I give Notion AI this command to clean these up:

Delete every line that begins with ‘Would you like me to’ across the whole page. In other words, remove all lines matching this pattern on this page: ^Would you like me to.*

For some reason Notion AI had a hard time with a more simple version of this prompt.

I guess you could also technically try to suppress the “Would you like me to” via instructions, but it’s sometimes nice to have.

If you’re a power user of AI tools for help with content creation, no need to re-type the same prompts over and over. There’s an easier way with TextExpander.

An incredible utility now that I’m using more AI browsers and prompts; TextExpander is invaluable

Frequently Asked Questions

An AI prompt manager is a tool for storing, organizing, and reusing the prompts you rely on, so you don’t rebuild them or dig through chat history. TextExpander keeps your prompts in a searchable prompt library and inserts any of them in ChatGPT, Claude, Gemini, or another AI tool when you type its abbreviation.
TextExpander works with any AI tool you use on your computer. Save your prompt as a Snippet with a short abbreviation (like ;emailprompt), then type that abbreviation in ChatGPT, Claude, Gemini, or any other AI tool. TextExpander instantly expands it into your full prompt, in your browser, your desktop apps, and anywhere else you type on Mac or Windows.
Yes. The TextExpander MCP Server connects your Snippets to Claude, ChatGPT, and Microsoft Copilot. From a conversation, you can search your prompt library, create prompts with fill-in fields, update existing prompts in bulk, and build or migrate whole Snippet Groups. The connection follows your existing TextExpander permissions, so no one gains access they don’t already have. See the MCP Server getting started guide.
Yes. TextExpander Fill-ins let you build prompt templates with blanks to fill in. For example, a ;customeremail Snippet can ask for the customer’s issue, the tone you want, and the key points before it expands into the full prompt. You keep the structure of your best prompts and adapt them to each situation.
With a notes app, you typically have to:
  • Switch to the notes app
  • Find the right prompt
  • Copy it
  • Switch back to your AI tool
  • Paste it
TextExpander runs in the background on Mac, Windows, or Chrome, so you just type ;emailprompt in your AI tool and the full prompt appears at your cursor. No app switching, no copying and pasting.
Yes. Add prompts to a shared prompt library (a shared Snippet Group) and everyone on your team can type ;socialmedia or ;customerservice to get the same prompt instantly. When someone improves a prompt, the update syncs to everyone automatically. The Free plan includes sharing with up to 5 team members, and the Business plan supports your whole team.
