Can’t find your best prompts when you need them?

Breaking focus to track down prompts

You need that prompt that worked perfectly last week. You stop everything to search for it. Was it ChatGPT? Claude? Which conversation? You scroll through your history, losing your momentum and your place in your actual work.

Losing your best prompts

It started with something like “Act as…” but what came next? The exact wording that got you those great results is buried somewhere in hundreds of conversations. After digging for 10 minutes, you give up. It’s gone.

Wasting time recreating prompts

So you start from scratch. Again. You try to reconstruct what made it work—the tone, the structure, those specific examples. Twenty minutes later, you have a prompt that’s close but not quite right. And you’ve completely forgotten what you were actually trying to accomplish.

TextExpander makes your AI prompts easily
accessible, customizable, and shareable

No more digging through chat history. No more rewriting the same prompt for the fifth time. TextExpander’s prompt management system gives you a centralized library that travels with you across every AI tool, so your best prompts are always one shortcut away.

Enable teams to
easily share prompts

Without proper prompt management, every team member reinvents the wheel. Your best prompts stay trapped in individual chat histories, new hires struggle to get good results, and output quality varies wildly depending on who’s using AI.

Meeting notes come in every format. Some people use bullets, others write paragraphs. Copy your notes and type ;meetingsummary. The JavaScript reads your clipboard, pulls the date, extracts attendee names, and builds a structured prompt that tells the AI exactly what you need.

You get consistent summaries with the same sections every time: decisions, action items, open questions, next steps. One shortcut, one format, regardless of how messy the original notes were.

How the pros use TextExpander for prompt management

The best prompts are the ones you actually use. So it’s all about minimising friction to finding and using them. I store prompts and context in a text snippet tool TextExpander. This means me and my team can use any prompt in any text box through a quick search or text replacement code. This simples an onboarding doc to just includes a list of codes and when to use them.

Typing the same text over and over again?

So you don’t have to.

Chamber of Commerce number? IBAN? Commonly used ChatGPT prompts?

I don’t type them anymore.

Since I have been using TextExpander I fill with a few keystrokes automatically enter my most frequently used info.

It saves me a lot of time every week,

Highly recommended.

Do you frequently pull from ChatGPT -> Notion?

ChatGPT always ends with “Would you like me to…” in the output, which means it always ends up in your copy-paste.

I’ve been stocking up on TextExpander snippets for these little scenarios. In this case, I give Notion AI this command to clean these up:

Delete every line that begins with ‘Would you like me to’ across the whole page. In other words, remove all lines matching this pattern on this page: ^Would you like me to.*

For some reason Notion AI had a hard time with a more simple version of this prompt.

I guess you could also technically try to suppress the “Would you like me to” via instructions, but it’s sometimes nice to have.

If you’re a power user of AI tools for help with content creation, no need to re-type the same prompts over and over. There’s an easier way with TextExpander.

An incredible utility now that I’m using more AI browsers and prompts; TextExpander is invaluable
